How Often Should You Test Alarms at Work?

A fire alarm that has not been tested may look perfectly healthy until the moment people depend on it. Knowing how often test alarms should take place is therefore not simply an administrative task. It is part of proving that your premises can warn occupants, support an orderly evacuation and meet the expectations set by your fire risk assessment.

For most UK workplaces, alarm testing is a combination of regular user checks and planned inspections by a competent fire and security provider. The exact frequency depends on the system, the building, its occupancy and the risks identified on site. A warehouse operating nights, a care setting and a small office will not necessarily need the same regime.

How often should fire alarms be tested?

For a commercial fire alarm system designed and maintained in line with BS 5839-1, a responsible person should normally carry out a weekly fire alarm test. This is the routine functional check that confirms the control panel receives a signal and that the alarm warning devices operate.

The usual approach is to activate one manual call point at approximately the same time each week. Use a different call point each time, working through the building over a planned rotation. This helps identify faults affecting a particular zone, device or circuit rather than repeatedly testing only the call point nearest the panel.

The test should be brief but noticeable. Staff, visitors and any alarm receiving centre should know it is planned, particularly where a monitored system could trigger an unnecessary emergency response. In occupied premises, communicate the test time clearly so employees understand that they should report any alarm that occurs outside the agreed testing period.

Record the date, time, call point or zone tested, result and any action taken in the fire alarm logbook. A simple record becomes valuable evidence during a fire risk assessment, insurer visit, audit or investigation following a fault.

Do automatic detectors need weekly testing?

No. Weekly testing is generally performed using a manual call point, not by individually testing every smoke or heat detector. Detector testing, sounder checks, battery assessment and more detailed system functions form part of planned servicing by a competent engineer.

A manual call point test still provides a meaningful check of the alarm system’s ability to detect an alarm condition, operate the panel and warn occupants. However, it does not replace professional maintenance. A system can pass a weekly check while developing issues with detectors, standby batteries, interfaces or communication equipment.

Plan professional fire alarm servicing at least every six months

BS 5839-1 recommends that fire alarm systems receive periodic inspection and servicing at intervals of no more than six months. Many businesses therefore arrange two planned maintenance visits each year. Higher-risk environments, larger estates, dusty industrial operations or sites with complex interfaces may need more frequent attention.

During a service visit, an engineer can test a representative proportion of automatic fire detectors and manual call points, check the control and indicating equipment, examine batteries and charging arrangements, assess sounders and visual alarm devices, and investigate fault history. The visit should also consider connections to other life-safety systems.

These interfaces can include magnetic door retainers, automatic opening vents, lifts, smoke control equipment, suppression systems and monitoring connections. Testing them improperly can disrupt normal operations or compromise fire compartmentation. That is why cause-and-effect testing should be planned carefully and carried out by competent personnel.

If your fire risk assessment identifies rapid fire development, vulnerable occupants, sleeping accommodation, high-value processes or a history of false alarms, a six-monthly visit may not be sufficient on its own. Your maintenance plan should reflect the real risks in the building, not just a calendar reminder.

Emergency lighting has its own test schedule

Emergency lighting is often considered alongside the fire alarm because both systems support safe evacuation, but it requires separate testing. A fire alarm can warn people to leave, while emergency lighting helps them find their way out if normal lighting fails.

In most commercial premises, responsible persons should carry out a short functional test of emergency lighting each month. This confirms that luminaires illuminate on their battery supply. The test should be long enough to establish that the fitting operates, but not so long that batteries are needlessly discharged.

A full-duration discharge test is normally required annually. The duration will depend on the system design, commonly one or three hours. Because this test can temporarily reduce the available emergency duration while batteries recharge, schedule it when the building is suitably managed and occupants are not placed at risk.

Keep records of failed fittings, dim lamps, damaged signs and battery issues. A green indicator light is useful, but it is not proof that a fitting will provide adequate illumination for the required duration.

How often to test intruder alarms and monitoring

Intruder alarm checks are different again. Daily setting and unsetting can reveal obvious problems, such as a door contact not closing or a keypad fault. Staff should report recurring warnings, unexpected activations, communication faults and areas that will not set. Repeatedly bypassing a zone may feel convenient, but it can leave a vulnerable area unprotected.

The formal maintenance interval for an intruder alarm depends on the system type, insurer requirements, monitoring arrangements and the level of risk. An unmonitored system may be serviced annually, while monitored or higher-security systems commonly require more frequent planned visits. Your contract, specification and insurance conditions should set out the applicable programme.

Testing should cover more than activating a siren. It may include detection devices, signalling paths, standby power, control equipment, warning devices and communication with an alarm receiving centre. Before testing a monitored alarm, ensure the receiving centre is informed and that procedures are agreed to prevent avoidable police or keyholder call-outs.

Do not forget AOVs and other linked systems

Automatic opening vents are designed to help clear smoke from escape routes and common areas. They can be triggered by the fire alarm, smoke detectors or local controls, depending on the design. Because they may open roof vents, windows or louvres, their testing needs coordination with building operations and weather conditions.

The required inspection and maintenance regime should follow the system design, manufacturer instructions, fire strategy and relevant standards. A visual check by site staff can identify obvious obstruction, damage or unauthorised isolation. Functional testing and maintenance should be carried out as part of a planned programme by engineers familiar with the AOV controls and fire alarm interfaces.

The same principle applies to fire doors held open by magnets, access-controlled escape doors and smoke dampers. A change to one system can affect another. If a building has been altered, extended or repurposed, review whether the original cause-and-effect arrangements still suit the premises.

Make testing practical for your site

A reliable testing regime works best when it is assigned to named people, scheduled around operations and backed by clear records. In a multi-site organisation, consistency matters: each location should use the same logbook standard, escalation route and process for reporting defects.

Your routine schedule may include:

  • weekly fire alarm manual call point tests, with call points rotated;

  • monthly emergency lighting functional checks;

  • planned fire alarm servicing at intervals not exceeding six months;

  • annual emergency lighting duration tests;

  • intruder alarm, AOV and interface maintenance at the frequency specified for the system and risk profile.

These are practical starting points, not a substitute for a site-specific fire risk assessment or maintenance specification. A premises with a simple conventional fire alarm system may be straightforward to manage. An integrated addressable system across several buildings, with evacuation zones, AOVs, monitored signalling and access control, needs a more detailed plan.

What to do when an alarm test reveals a fault

Treat faults promptly, especially faults affecting alarm indication, warning devices, detection coverage, standby power or remote signalling. Record the issue, the action taken and any temporary precautions introduced while repairs are arranged. Depending on the nature of the fault, this may include increased patrols, a temporary fire watch, restrictions on certain areas or changes to working arrangements.

Do not silence a fault indication and assume the matter is resolved. Persistent faults can mask more serious conditions, and disabled devices may affect your ability to demonstrate compliance. A competent provider can diagnose the cause, source suitable replacement parts and confirm the system is returned to service correctly.

The most useful question is not just how often alarms are tested, but whether each test gives you confidence that people will be warned when it matters. If your logbook shows missed checks, recurring faults or uncertainty over who is responsible, it is time to review the regime before a routine test becomes a real emergency.
